Member Services Correspondence Representative

The Member Services Correspondence Representative prepares personal acknowledgements, serves as a backup for handling incoming/outgoing member phone calls, and maintains various computerized records of correspondence of the members.

DUTIES

  1. Acknowledges all types of mail, whether postal or internet, in a timely and accurate manner on a personal computer and prepares letters for mailing and puts in the proper place so it can be mailed. This involves straight run letters and letters which need a personal insert.
  2. Handles incoming phone calls from members as a backup for the phone team and makes outgoing calls as needed.
  3. Acts as receptionist greeting visitors who come to the office and helps members who come to the front door to fulfill their requests or purchase various items.
  4. Use the current text management software package to keep up-to-date information regarding various situations.
  5. If necessary enters transactions and add or update information pertaining to the member’s record. This also includes entering post-transactions for all membership types, phone numbers, email addresses, birthday information.
  6. Researches the member records and past correspondence in order to decide how to fulfill members’ requests.
  7. Performs other related duties as required.

Job Description

QUALIFICATIONS

Must demonstrate effective use of basic secretarial skills with speed and accuracy.  Must demonstrate proper use of English grammar and ability to compose letters and inserts as well as phone conversations.  Must be able to function effectively as a team member and be willing to answer all types of mail and phone calls handled by the Member Services Correspondence Team as the need arises.  This person must have a personal concern for our members and compassion for them and their problems.  Must be able to follow oral and written instructions which describe the methods used to answer all types of personal mail and phone calls.

Must acquire a good working knowledge of the computer codes used on member mail.  Must know how to fulfill member requests for various articles/information prepared by the department.  Must know or learn how to use, to the satisfaction of the Member Services Team Leader, the following:  a personal computer, software on it, and the computerized member record system.

Must have a passion for Catholic spirituality with a particular belief in and support of devotion to the Blessed Mother.

Must work well as a team member and be able to communicate with members of the team and other Association staff and management.
